Administrative Editor for History Workshop Journal
The editorial collective of History Workshop Journal are looking for a part-time administrator to manage the administrative and financial functions of the journal’s editorial process. The job will require an average of eight hours a week, with the possibility of overtime. Pay will be on Grade 6 of the University of London academic/support staff scale: £18.00 hourly.
The post-holder will:
- Distribute new editorial submissions to the editorial collective according to subject specialism; monitor editor comments and timescales; collate editors’ responses; and correspond with authors and potential authors;
- Manage the transition to a digital system for submissions (Scholar 1);
- Attend to HWJ finances, including all banking and book-keeping. This includes the payment of invoices, the preparation and submission of the monthly payroll, and the annual HWJ This also includes playing an active role in decisions regarding short- and long-term investments under the guidance of HWJ’s Treasurer, and liaising with the accountants;
- Organize and attend editorial and general meetings of the editorial collective (approximately every six weeks); prepare and distribute minutes of the meetings;
- Liaise with the journal’s publisher, Oxford University Press (OUP), on general matters and those pertaining to sales, distribution and promotion;
- Advise authors about image and other permissions, and liaise with OUP about this;
- Liaise with History Workshop Online Fellows about up-coming HWJ content for promotion;
- Prepare and submit HWJ’s annual report to the Charity Commission;
- Make regular collections of mail from the London post office box
HWJ are looking for someone who:
- Has substantial administrative experience and is very organized;
- Can work independently;
- Has excellent IT skills; Knowledge of Scholar One, or an equivalent submissions system, would be useful.
- Has experience of basic accounting;
- Can attend monthly afternoon and occasional evening/weekend meetings in London;
- Has good oral and written communication skills;
- Has an interest in history and academic publishing
